Why this matters
A job posting is the first test a candidate faces. Dense text and vague demands screen out capable people. Clear postings widen your talent pool. They also help every reader.
In Ontario, the AODA requires employers to tell applicants that accommodation is available during recruitment. Federally regulated employers must also meet the duty to accommodate under the Canadian Human Rights Act. Other employers follow their provincial or territorial human rights law.
General information, not legal advice.
Step 1: Write in plain language
- Use short sentences. Aim for one idea per sentence.
- Use common words. Write "use" instead of "utilize."
- Write in active voice. Say "You will lead the team."
- Spell out acronyms the first time.
- Remove internal jargon and team nicknames.
Step 2: List only real requirements
Ask one question for each item. Is this needed on day one to do the job?
- Split the list into "Must have" and "Nice to have."
- Remove "excellent written communication" unless writing is a core duty.
- Describe the task, not the method. Write "Produce clear client reports," not "Types fast with no errors."
- Keep the must-have list short.
Step 3: Format for easy reading
- Use a clear sans serif font, such as Arial or Verdana.
- Keep body text at 12 to 14 point or larger.
- Use bold for emphasis. Avoid italics, underlining and all capitals.
- Left-align text. Do not justify it.
- Use headings: About the role, What you will do, What you need, How to apply.
- Use bullet points, not long paragraphs.
- Post an accessible Word or web version, not only a scanned image.
Step 4: Offer more than one way to apply
- Accept a resume in any common format.
- Make cover letters optional, or accept a short video or audio clip.
- Give a phone number and email for questions.
- Name the closing date in a clear format, such as 15 November 2026.
Step 5: Add an accommodation statement
Place it near the top and again in the "How to apply" section.
Sample statement:
We welcome applicants of all abilities. Accommodation is available at every stage of hiring. This includes the application, interviews and any assessments. To ask for accommodation, contact [Name] at [email] or [phone]. You do not need to share a diagnosis. Tell us what would help, and we will work with you.
Fill in your details:
- Contact name: ________
- Email: ________
- Phone: ________
- Response time promise: ________
Final check
- Read the posting aloud. Fix anything that trips you up.
- Run it through a screen reader or text-to-speech tool.
- Ask one colleague outside HR to read it and summarize the job.
